What We Collect

When you use our app, we collect and store:

• Account Information: Your email address and authentication credentials
• Business Information: Business name, profile details, and settings
• Financial Data: Transactions, journal entries, account balances, and financial records
• Drafts and Captures: Unprocessed transactions, notes, and categorization data
• Attachments: Receipts, photos, and documents you upload
• Usage Data: How you interact with the app to improve functionality
• Notes and Metadata: Comments, tags, and other information you add to transactions

How We Use Your Data

We use your data solely to provide and improve the app's functionality:

• Provide Core Features: Process transactions, generate reports, and manage your bookkeeping
• AI Assistance: Analyze transactions to suggest categorizations and draft journal entries
• Account Management: Authenticate you, manage your businesses, and support multi-user access
• Product Improvements: Understand how features are used to make the app better
• Support: Help you when you contact us with questions or issues

We do not sell your data. Your financial information is never shared with third parties for marketing or advertising purposes.

Data Isolation and Privacy

• Each business's data is logically isolated and private
• Users can only access businesses they are members of
• Row-level security policies enforce data isolation at the database level
• Your business data is not visible to other users or businesses

AI and Your Data

We use artificial intelligence to analyze your transactions and provide categorization suggestions and draft journal entries.

• AI suggestions are advisory only and require your review before being posted to your official ledger
• AI processing happens within our secure infrastructure
• We do not train AI models on your specific business data
• All AI output should be reviewed by you or a qualified bookkeeper

Data Storage and Security

• Your data is stored securely using industry-standard encryption
• We use Supabase (a trusted cloud database provider) for data storage
• Access to your data is protected by authentication and authorization controls
• Receipts and attachments are stored in private cloud storage buckets

Your Rights

You have the following rights regarding your data:

Export Your Data

You can export your financial data at any time through the app's export features.

Delete Your Account

You can delete your account and associated business data at any time through the Settings page. When you delete your account:

• Your user account will be permanently removed
• All associated business data will be deleted (if you are the business owner)
• Attachments and receipts will be removed from storage
• This action cannot be undone

To delete your account, go to Settings → Delete Account in the app.

Data Retention

• Active account data is retained as long as your account is active
• Deleted data is permanently removed from our systems within 30 days
• Backups may retain deleted data for up to 90 days for disaster recovery purposes

Third-Party Services

We use the following third-party services to operate the app:

• Supabase: Database and authentication services
• Cloud Storage: For receipt and document storage
• AI Services: For transaction categorization and suggestions

These services have their own privacy policies and are contractually required to protect your data.

Children's Privacy

Our app is not intended for use by anyone under the age of 18. We do not knowingly collect data from children.

Changes to This Policy

We may update this Privacy Policy from time to time. When we do:

• We will update the "Effective Date" at the top of this policy
• Significant changes will be communicated via email or in-app notification
• Continued use of the app after changes constitutes acceptance of the updated policy
